Parallel Travel acts as an agent for airlines, hotels, visa authorities, and other third-party service providers. We are not liable for changes, cancellations, or disruptions caused by these third parties. It is the Client's responsibility to ensure all personal details (name, passport number, date of birth) provided are accurate. Parallel Travel is not liable for losses arising from incorrect information supplied by the Client.

4. Payments

Service fees are quoted in Nigerian Naira (NGN) or US Dollars (USD) as agreed. All fees are due as specified in your service agreement. A non-refundable service retainer is required to commence work on any booking. The balance is due prior to ticketing or service delivery unless otherwise agreed in writing. Parallel Travel reserves the right to cancel a booking if payment is not received by the agreed due date.

5. Refund Policy

Our refund policy varies by service type. Please read each section carefully.

5.1 Flight Coordination

Service fees paid to Parallel Travel for flight coordination are non-refundable once ticketing has commenced. Airline ticket refunds are subject to the fare rules of the issuing airline. Parallel Travel will facilitate refund requests on your behalf but cannot guarantee outcomes from airlines. Any airline-issued refunds will be passed to the Client minus applicable processing fees.

5.2 Visa Assistance

Visa service fees are non-refundable once document preparation has begun. Embassy and government fees paid on your behalf are non-refundable regardless of visa outcome. Parallel Travel does not guarantee visa approval — visa decisions rest solely with the relevant embassy or immigration authority. In the event of a visa refusal, Parallel Travel will advise on reapplication options at no additional service fee.

5.3 Custom Itineraries

Itinerary planning fees are non-refundable once the first draft has been delivered. If a trip is cancelled before itinerary delivery, a partial refund of up to 50% of the planning fee may be issued at Parallel Travel's discretion.

5.4 Accommodation Logistics

Accommodation refunds are governed by the cancellation policy of the individual property. Parallel Travel will communicate the applicable policy at the time of booking. Our service fee for accommodation sourcing is non-refundable once a booking has been confirmed with the property.

5.5 Ground Transport

Ground transport bookings cancelled more than 48 hours before the scheduled service may be eligible for a full refund of the transport cost, subject to the provider's policy. Cancellations within 48 hours are non-refundable. Parallel Travel's coordination fee is non-refundable once the booking is confirmed.

5.6 24/7 Travel Support

Support retainer fees are non-refundable. If a trip is cancelled before the support period commences, a pro-rated refund may be considered at Parallel Travel's discretion.

5.7 Education Consulting

Education consulting fees are non-refundable once the school research or application process has commenced. If a student visa application is refused, Parallel Travel will provide one complimentary reapplication advisory session. Fees paid to institutions, accommodation providers, or government bodies on the Client's behalf are non-refundable and subject to the respective institution's policies.

6. Cancellations

All cancellation requests must be submitted in writing to [email protected]. Cancellations are effective from the date the written notice is received. Cancellation charges may apply as follows: • More than 30 days before travel: loss of deposit only • 15–30 days before travel: 50% of total service fee • Less than 15 days before travel: 100% of total service fee These charges are in addition to any non-refundable costs imposed by airlines, hotels, or other third-party providers.

We are not liable for: • Acts, omissions, or defaults of airlines, hotels, transport providers, or visa authorities • Force majeure events including natural disasters, political unrest, pandemics, or government travel restrictions • Loss, damage, or injury arising from the Client's own actions or negligence • Delays, cancellations, or changes imposed by third-party providers Our total liability to any Client shall not exceed the total fees paid to Parallel Travel for the specific service in question.

This should include coverage for trip cancellation, medical emergencies, lost baggage, and travel disruption.
